The Challenges
Even though the client liked our quick replies on the website, we had to get through three big headaches before shipping the bulk order:
1. Turning nail polish bottles into perfume rollers—will it leak?
These 7ml bottles were originally made for nail polish. When we tried fitting roller balls into them, the tiny size variations from the glass factory caused a lot of trouble. Some were too tight and wouldn't roll, while others were too loose and leaked. This was the first time our team and manager had faced this kind of issue.
2. Samples broke during air freight, and the client wasn't happy;
While making the bulk order, the client urgently shipped 800 sets by air for a quick test. Because of the rough transit, 16 bottles broke. The client complained right away and was worried about the quality of the upcoming bulk order.
3. Strict regulations and tons of paperwork;
● Four complex forms; We had to fill out paperwork for New Vendor Setup, shipping chargeback policies, and bank info. It was a lot of administrative work.
● Unit conversions; We usually write 7ml on our paperwork, but the client insisted that every invoice and packing list must show "0.22oz" instead.
● Color packaging request; They wanted color shipping marks and color boxes. However, our office printers only do black and white, and custom color boxes required a high MOQ that this order didn't meet.
Our Solutions
Instead of giving up, we rolled up our sleeves and solved these issues one by one:
1. Teamed up with our supplier to find a new roller ball;
To fix the size issues with the 20,000 bottles, we held an urgent meeting with our roller ball supplier. Luckily, they just came out with a newly designed roller ball that has a bit of flexibility. It fit our bottles perfectly—rolling smoothly without a single drop of leakage. The client tested them on the 800 air-shipped sets and didn't complain again.
2. Hand-inspected 100% of the goods before shipping;
To give this new client absolute peace of mind, we dropped our usual random sampling check. Instead, we spent the final month hand-inspecting all 20,000 bottles one by one to pick out the perfect ones, ensuring top-notch quality consistency.
3. Sent extra spares to turn a complaint into a compliment;
Since 16 bottles broke during air freight, we showed our sincerity by throwing in 240 extra bottles as free spares in the bulk order. We also followed their exact rules and marked them clearly as "Free of charge" on the invoice. The client loved our attitude.
4. Honest talk and perfect paperwork;
Since we couldn't do color boxes and marks, we told the client honestly. They were totally fine with high-quality black-and-white marks. For the 4 tricky forms and changing 7ml to 0.22oz, we stayed on top of it and got everything done perfectly.
The Results & Outlook
● Smooth Delivery; The initial batch of 20,000 sets was picked up smoothly at our factory under EXW terms, with all custom paperwork perfectly completed.
● Long-Term Partnership; The process went so well that we became their official supplier. We are now looking at steady orders of 40,000 to 60,000 sets every year.
